Although guidelines requiring facial coverings and social distancing have been relaxed, you are requested to use your best judgement if physically attending an meeting onsite.

Meeting Notices

The Board of Directors holds regular monthly meetings every second Monday of each month at 6:00pm.*  This will be done in an effort to decrease meeting lengths, increase the speed at which the board can transact business, and increase the community’s access to the Board.  (Note: This does not apply to a month in which an Annual Meeting is held.)

 

Members may attend in person or via Zoom (see below for dial-in info).  The Open Session portion of the Board of Director's Meeting begins at 7:00 p.m.  Members are invited to observe as the Board undertakes the business portion of the meeting.  Prior to the adjournment of the Open Session, the Board will open the floor to member comments.  If, after discussion of agenda items, the Board decides to convene into Executive Session, members will not be allowed to remain and observe.  However, members are welcome to return when Open Session has reconvened.

We encourage members to attend Board of Directors Meetings in person; however, for community members who do not want to attend the scheduled meetings in person, we are offering a conference call option. The conference remote dial-in details are listed below.

Future meeting notifications will be available by email notification (please sign up for the HOA Message Board if you have not done so at: https://www.greenfieldcrossinghoa.com/contact-us), the Greenfield Crossing website banner, or the community sandwich sign placed at the front of the community.

YOUR RIGHTS

All meetings of the board of directors, including any subcommittee or other committee of the board of directors, where the business of the association is discussed or transacted shall be open to all members of record. The board of directors shall not use work sessions or other informal gatherings of the board of directors to circumvent the open meeting requirements of this section. Minutes of the meetings of the board of directors shall be recorded and shall be available as provided in subsection B of § 55.1-1815 of the Virginia Property Owners' Association Act.

A lot owner may make a request to be notified on a continual basis of any such meetings. Such request shall be made at least once a year in writing and include the lot owner's name, address, zip code, and any email address as appropriate. Notice of the time, date, and place shall be sent to any lot owner requesting notice (i) by first-class mail or email in the case of meetings of the board of directors or (ii) by email in the case of meetings of any subcommittee or other committee of the board of directors.

Unless otherwise exempt as relating to an executive session pursuant to subsection C, at least one copy of all agenda packets and materials furnished to members of an association's board of directors or subcommittee or other committee of the board of directors for a meeting shall be made available for inspection by the membership of the association at the same time such documents are furnished to the members of the board of directors or any subcommittee or committee of the board of directors.

Any member may record any portion of a meeting that is required to be open. The board of directors or subcommittee or other committee of the board of directors conducting the meeting may adopt rules (a) governing the placement and use of equipment necessary for recording a meeting to prevent interference with the proceedings and (b) requiring the member recording the meeting to provide notice that the meeting is being recorded.

* Changes to the schedule or location can be caused by, but are not limited to, the availability of meeting space, inclement weather, or the observance of Federal holidays.

Zoom Dial-In

The Board of Directors has provided this conference capability as a convenience to the membership for those who are unable to attend a meeting in-person.  After you dial-in, you may be placed in a waiting room until the open session begins.  Please be aware that some conference platforms require you to be "admitted" into the meeting.  Since that may be the case, you are advised to dial-in several minutes early.  Dialing-in late may delay your entry as we are not actively viewing the platform conference screen once the meeting has begun.  For privacy reasons, the passcode is not listed, please join the community message board for the passcode or request one prior to the meeting.
